Job Description: The team manager’s role is to handle the administrative duties of a Classic Soccer Team to free the coach’s time for coaching. The manager is also the focal point for communications between the parents, the coach and the USA soccer club. The team manager’s main contact will be the president of USA.

Duties Before the Season Begins:
  1. Collect all registration forms and copies of birth certificates. (Some teams may already have copies of the birth certificates and player cards. Check with the president if you are not sure of this) Insure the medical release is signed at the bottom of all the registration forms.
  2. Collect uniform information from the registration forms or by calling the players directly and enter them into the Excel sheet file that has been provided to you. Once you have compiled this information email this to uniforms@upstatesoccer.org. (if you don’t have Excel, hand write the total using a print out of the uniform order form)
  3. As soon as you receive all the registration forms your first tournament form to fill out will be the Aiken Soccer Cup. Divide the tournament fee by the number of players and collect the money needed to register. The deadline to register is August 5.
  4. As soon as they are received the USA Registrar will supply you with your team roster and SCYSA player cards. Please follow the instructions provided to assemble the new player’s cards.
  5. Provide a team roster with names, addresses, phone numbers and parent’s names to all the players.
  6. Provide everyone with a Fall practice schedule.
  7. Create an email list for USA communications. Newsletters that will be sent to you must be promptly forwarded to all your players. Please check you email at least 3 times a week before the season begins and daily during.
  8. Consider learning how to use Calling Post to save time calling the entire team. Contact Bob Schuette for information on this.
GAME DAY DUTIES:
  1. Carry all medical releases and player cards to each & every game.
  2. Hand player cards to referee prior to the game so he can check the players.  BE SURE TO GET THESE CARDS BACK prior to the start of the game or they might get misplaced.
  3. Carry the referee money to every game.  This money (in cash) has to be paid to the referee prior to the start of every match*.
  4. Report to the President of the USA club IMMEDIATELY any game day issues that need to be addressed such as (a) player injuries, (b) player or coach ejections, (c) parent sideline behavior issues, etc.
  5. Make arrangements with your team parents to get some team action photos for posting on the web site.  The kids love to see themselves and their friends on the home page.  Please email photos to Webmaster@UpstateSoccer.org
  6. f your team is champion or finalist at any tournament please obtain a picture and email it to the webmaster along with the results. If you also include the players names and team’s main city of origin this information can be sent to the local paper for consideration in their sports section.
  7. Carry a First Aid Kit to all games.

*A Note about Referee Fees – Obtain a check from the USA club treasurer to cover the team’s referee fees for the season.  This check will be written to you personally, so you can cash it.  The referee’s must be paid in cash.  It is suggested that you put the cash for each game into two separate envelopes.  One envelope is for half of the center referee’s fees.  The other envelope should contain full payment for ONE of the side referees.  The other team that you are playing will also do the same thing.

TOURNAMENT DUTIES:

  1. Work with the coach to select which tournaments the team will attend.
  2. Find out the registration cost of the tournament, and make hotel arrangements for the team / coach if necessary.
  3. Calculate the per player cost of the tournament by adding together (a) the tournament registration cost, (b) the hotel cost for the coach (if applicable), and (c) $80 for coaches food / transportation.  Take this total amount and divide it by the number of players currently on the roster.  NOTE:  Traditionally, all players are expected to attend the tournament if rostered to the team.  Guest players (if used) only typically pay their own transportation and lodging costs.  They are “guests” and therefore not normally included in the pool of players that pay for the tournament or coaching fees.  This of course is a team / coach decision that can be flexible based on circumstances.
  4. Collect tournament money from all players.
  5. Register for the tournament by filing the necessary paperwork with the tournament director.
  6. Either pay for the tournament directly from the money collected or have the club write a check for you.  NOTE:  The club treasurer will NOT write out a tournament check unless the fees have been collected and enough money turned in to cover this check.  The only possible exception to this is for the Aiken tournament in early fall for teams that must register prior to starting their seasonal practices.
  7. Give the appropriate amount of money collected to the coach to cover their costs.
  8. Almost all tournaments require teams to check in the night before the tournament starts.  This check in process normally simply means (a) showing up to let them know you are there, (b) giving the tournament officials a copy of the team’s SCYSA state roster, and (c) letting the tournament officials check over the player cards.  You will in many cases also get tournament information at this check-in to pass out to your families.
  9. Report the tournament results to the webmaster for inclusion on our internet site.
  10. Regular game day responsibilities also apply here with the exception of paying the referees.  The tournament directors are responsible for this duty.
  11. Attending out of state tournaments requires a form called, Notification of Travel. Diane Lancaster, the Select Registrar has copies this form and can assist you with filling them out.

STATE CUP DUTIES – The State Cup is an end of season tournament for the league that must be applied for just like every other tournament.  The duties are the same as listed above.

WEATHER SITUATIONS:

  1. If USA determines that it is to wet or dangerous to practice it will be posted on the website or on the Weather Hotline Number, 486-9772.
  2. The Classic Soccer game cancellations will be posted on the Pelham Masonic League website linked from the USA website.
  3. If the weather changes during the games the referee will determine whether the conditions require postponing or delaying the game.
